For many parents at Zimbabwean private and independent schools, checking a child’s school fees or attendance has meant either calling the bursar during office hours or waiting for a written report at the end of term. Rongeka Africa has changed that. Parents can now send a WhatsApp message to their school’s registered number, enter their child’s student number and receive an up-to-date fee and attendance summary in seconds.

The feature works through a WhatsApp Business chatbot connected to the school’s Rongeka Africa account. There is no separate app to download and no portal login to remember. A parent at a school in Gweru with a child who has been absent twice in the past two weeks can check exactly which days those absences were recorded, along with the current outstanding invoice balance, without speaking to anyone at the school.

What Parents See

When a parent sends any message to the school’s WhatsApp number for the first time, the chatbot introduces itself and presents a short menu. Selecting option five prompts the parent to enter their child’s student number. The system matches the student number against the phone number the school has on file. If they match, the parent is logged in and shown a four-item menu: Child Attendance, Fees and Invoices, Grades, and Contact School.

Selecting fees shows a list of unpaid invoices, each with the invoice number, the outstanding balance and the current status. Selecting attendance shows the total number of days the child was present, absent or late over the last thirty days, followed by a list of the ten most recent records with dates. Parents with more than one child at the school are asked to select which child they want to view before any data is shown.

Why This Matters for Zimbabwean Schools

Late or missed fee payments are a persistent pressure point for private and independent schools in Zimbabwe. Schools that rely on end-of-term statements or manual reminders often find that parents are unaware of balances until they arrive at the school gate. Rongeka Africa’s WhatsApp access gives parents a way to check their balance at any point in the term, from any phone that has WhatsApp, without requiring a data-heavy browser session.

For school administrators, the feature does not add any extra steps to their existing workflow. Attendance records entered through the web portal or the teacher’s WhatsApp session are immediately visible to parents. Invoice data already in the system is what the chatbot displays, with no separate sync or export required.

Getting Started

Parents do not need to register separately for WhatsApp access. If their phone number is already recorded in the school’s Rongeka Africa system, they can use the chatbot immediately. Schools that want to make the number available to parents can share the WhatsApp contact the same way they share any other school communication, via the school’s existing message channels or printed on the school’s correspondence.
