Parents, teachers and students at Zimbabwean schools using Rongeka Africa can now access school information directly through WhatsApp. The update adds a chatbot to the Rongeka Africa platform that responds to messages sent to the school’s registered WhatsApp Business number, giving users a way to check fees, view attendance records and mark registers without leaving the messaging app they already use every day.
The feature is available to all four user groups that Rongeka Africa serves: parents, teachers, students and fleet drivers. Each group sees a menu relevant to their role after they log in. A parent at a school in Harare, for instance, can send a message, enter their child’s student number, and within seconds receive an up-to-date summary of outstanding fees and the last thirty days of attendance records.
How It Works
Logging in requires no password. When a user sends any message to the school’s WhatsApp number, the chatbot responds with a welcome menu. The user selects option five to access the system, then enters their ID, a student number for students and parents, or an employee number for teachers and drivers. The system checks that the ID matches the phone number already on file in the school’s Rongeka Africa records. If both match, the user is authenticated and taken directly to their menu.
This approach uses two factors, the registered ID and the phone number already verified by WhatsApp, without requiring a separate OTP, a login page or a data connection beyond what WhatsApp already uses. A teacher at a school in Bulawayo who has never opened the Rongeka Africa web portal can mark attendance for their class in under two minutes by replying to a simple numbered list of their students.
What Each Role Can Do
Teachers can view their assigned classes, select a class and submit attendance by replying with a comma-separated string of P, A or L codes, one for each student. The attendance records are saved immediately to the school’s Rongeka Africa account and appear in the web portal in real time.
Parents can check their child’s attendance over the last thirty days and view outstanding invoices. If a parent has more than one child enrolled at the school, the chatbot prompts them to select which child to view first. Students can check their own attendance summary, published assessment results and outstanding fees. Fleet drivers can view their assigned routes and departure schedules for the day.
Session Security and Timeout
Sessions remain active for thirty minutes after the last message. After that, the system requires the user to re-enter their ID. This prevents unauthorized access if a phone is left unattended. School data is always scoped to the school the user belongs to, so a teacher at one school cannot see data from another school, even if they share the same phone number format.
